This role ensures a seamless hiring and onboarding experience by managing the administrative and operational aspects of recruitment. From offer letters to background checks and onboarding compliance, the HR specialist supports an efficient, accurate, and compliant hiring process. 

Responsibilities

  • Prepare and manage offer letters, including internal approvals, extensions, and acceptances.
  • Coordinate background checks, MVRs, and DOT screenings.
  • Monitor and respond to shared inboxes in a timely and professional manner.
  • Book travel arrangements for candidates and recruiting team members as needed.
  • Manage and audit employee and candidate profiles in Oracle and HireRight.
  • Perform onboarding audits and ensure compliance with Oracle onboarding tasks.
  • Track and report on department metrics, including hiring data, referrals, tech retention, and conversion status.
  • Collaborate with Office Managers to ensure onboarding tasks are completed timely and accurately.
  • Process invoices and other administrative documentation.
  • Support special projects and perform various administrative tasks to support the HR Department.
  • Other duties assigned by management.

Qualifications

  • Bachelor’s Degree in HR related field or 2-3 years of applicable working experience.
  • Familiarity with applicant tracking systems and HRIS tools (iCIMS and Oracle experience preferred).
  • Strong organizational skills, attention to detail, and ability to work well under pressure
  • Proficient with Microsoft Excel
  • Must possess analytical skills to evaluate ongoing effectiveness of programs and prepare actionable reporting
  • Communicate well to all levels within the organization
  • Exceptional interpersonal skills that will lead to strong relationships with internal and external partners
  • Reliable and strong work ethicProfessional appearance is a must
